Is salary and HR data treated as special-category data under UK GDPR?
No. Employment contracts, salary details and offer letters are personal data under UK GDPR, which already requires careful handling, but they are not automatically 'special-category' data (the higher-protection category covering things like health or racial origin). Some HR files may separately contain special-category data, such as health information in a sick-leave record, and that content needs the extra safeguards UK GDPR requires for it. This is general information, not legal advice - check what a specific document actually contains.
Can I stop a salary letter being forwarded once it is opened?
Not completely - once a recipient has opened a document there is no way to fully prevent them saving or forwarding a copy. Gating access with a verified email and one-time code, and adding a viewer-specific watermark on Business, are the practical controls that make leaks traceable and less likely.
Can employees sign contracts and policy documents online?
Yes, from the Pro tier. Send the contract or acknowledgement as a gated link and let the employee sign in the browser. The executed PDF carries an audit certificate with signer IP, intent-to-sign consent and timestamps.
Is HR data hosted in the UK?
Yes. Documents are hosted in the UK (London), encrypted with AES-256 at rest, with a Data Processing Agreement available on request.
