Some HR files may separately contain special-category data, such as health information in a sick-leave record, and that content needs the extra safeguards UK GDPR requires for it. This is general information, not legal advice - check what a specific document actually contains.
Not completely - once a recipient has opened a document there is no way to fully prevent them saving or forwarding a copy. Gating access with a verified email and one-time code, and adding a viewer-specific watermark on Business, are the practical controls that make leaks traceable and less likely.
